Put reminders on hold when an invoice is disputed
Separate resolution work from collection cadence so the client receives the right message.

Once a client raises a specific invoice concern, ordinary reminders can make the situation worse. Pause the sequence, capture the issue and assign the person who can resolve it.
Classify the issue precisely
Record whether the concern is about scope, quality, quantity, tax, purchase order, payment instructions or another fact. Quote the client’s question accurately and link the supporting message.
Do not label a routine accounts-payable delay as a dispute. The category should reflect an actual contested fact or amount.

Assign resolution ownership
The person following up on payment may not be the person who can answer the commercial question. Name an owner with authority to investigate and respond.
Set a response date and note whether the undisputed portion remains payable. Get appropriate advice for material legal or contractual issues.

Restart only from a clear outcome
Record the credit, correction, explanation or agreement that resolves the issue. Recalculate the balance from the source records.
