A 30-minute weekly receivables review

Use one short routine to check receipts, promises, disputes and the next responsible action.

A weekly review prevents overdue invoices from being managed only when cash feels tight. The routine should reconcile what changed, decide the next action and surface issues that need commercial attention.

Reconcile before communicating

Check bank or accounting records for receipts, credits and corrections since the last review. Apply confirmed changes before reading the overdue list.

This prevents duplicate reminders and keeps remaining balances defensible.

Review by next action

Group items into send a reminder, wait for a promise, resolve a dispute, verify a receipt or escalate internally. Age alone should not determine the message.

Start with the items whose next action is due, then consider size, relationship and repeated missed commitments.

  • Blocked and assigned

Finish with ownership

Every open item should leave the review with one owner and one date. Draft messages while the facts are visible, but review them before sending.
